Steps to add a new contact to the shared address book

This article provides a step-by-step guide on how to add a contact into your phone system using the Agilico Connect Customer Portal. It highlights all the necessary fields and options available during the contact creation process.

How to add a Single Contact

1. Log in to the Agilico Connect Admin Portal (https://customerportal.hp2k.co.uk/)  

2. Click on  icon Contacts in the left-hand pane of the Customer Portal.  

3. Click on the + Add  button, 

Enter the Contact Details 

To open the contacts creation page, in the left-land navigational panel, click Contacts then click +Add

You will be greeted the new contact form containing the following fields.

Required

First Name 

Enter a First Name for the contact.

Last Name 

Enter a last Name for the contact.

Display Name 

Provide a display name for the contact (This will be what appears in the contacts list.)

Hide From Address Book

Select whether you would like to hide this contact from the shared address book. (You may wish to hide the contact if used for routing e.g. to a personal mobile and you don't want others in your organisation to see the number.)

Optional

Speed Dial Number

Enter a number you wish to assign the contact as a speed dial.

Speed Dial

If using speed dial, please make sure to use a speed dial number that does not already exist on the system. This acts as a short code that the users can dial to reach the contact without having to enter the address book.

 

Once the above required fields have been entered successfully, you may press the Save button.

Enter the Contact Numbers

The page will then refresh, revealing an additional Numbers section beneath the contact details.

  1. Click the +Add button to add a number to the contact.
  2. Enter the phone number 
  3. You will be given a set of categories for the numbers that you wish to add to the contact. These are as follows, “Home”, “Work”, “Mobile”, “Extension” and "Other"
  4. Click the Save button
  5. After clicking the Save button, the screen will refresh and display the option to assign a virtual phone number. If you wish to assign one, do so now and click Save again. Otherwise, leave the virtual number blank and simply click Save to finish adding the number. 

Virtual Numbers

If you're coming from an Avaya or Mitel phone system, you maybe familiar Virtual Numbers. A virtual number is a phone number that isn’t tied to a specific physical device but can still route calls to a user’s phone, mobile, home or voicemail. It’s sometimes used as a way to quickly call a persons mobile for example. 

 

You have now successfully created a new contact in the shared address book.

Tips for successful Contact addition

  • Complete all required fields - Ensure that all required fields (First Name, Last Name, Display Name) are filled out accurately. - All of these fields have a minimum of 3 characters and a maximum of 15.
  • Check for Duplicate Contacts - Before adding a new contact, it might be worthwhile to check for existing contacts to avoid duplicates. If you try to add a contact with the details of one which already exists - the system will return an error.
  • Use Clear Display Names - Choose Display Names that are easily recognisable, especially if the contact will be frequently used.
