Using a feature code to easily shift your phone system into different out of office modes

Agilico Connect supports the use of feature codes on telephones. These are a series of codes, starting with an Asterisk * which can be found here Feature Codes - Agilico

In this article we will look specifically at the Time of Day menu.

Note: Used to change the phone system between any of the four available time-of-day modes (Day, Night, Lunch, Holiday)

Preconfiguration Required Before Use

Please note, each option must be preconfigured with the destination you want calls to be sent to, such as a call group, announcement, voicemail box, or another available destination.

 

Site configuration

Each phone number in Connect is assigned to a Site. If your business has multiple locations then you would also have multiple sites, with each site having a main number and possibly a series of DDI's (Direct Dial numbers). Users can dial these feature codes from phones at each site to change the routing of that site’s phone system.

The most common of these is changing the phone system into Night mode and back into Day Mode. However, there is also Lunch mode and Break mode.

Configuring Day/ Night / Lunch / Break modes

1. Log in to the Agilico Connect Admin Portal (https://customerportal.hp2k.co.uk/)  

2. In the left hand menu, click the Telephone Numbers option. 

3. You will then see all of the available numbers. 

4. Find the number you require and select the Edit (pencil icon) option on the right hand side.

5. On the next screen, you will see the following options: 

 

Configure the Call routing for each mode by following these steps:

1. Click the Select drop down 

2. Click Edit

3. From the window that pops up, select the location you wish to send calls to

  • Voicemail Mailbox
  • Menu - Sends call to a preconfigured Menu 
  • User - Sends call to a User
  • Queue - Sends call to a preconfigured Queue
  • Call Group - Sends call to preconfigured a Call Group 
  • Menu Application - Sends to a preconfigued menu
  • Contact - Sends call to a Contact in the company address book e.g. CEO Mobile
  • Time Condition - Select a preconfigured Time & Date Condition 
  • Application - Allows you to End the call, Provide a busy tone or Congestion Tone

Once configured, you can use the feature codes from any phone on a site to enable or disable one of the modes, for example:

Dial *211 - Default and Day Destination - Leave this to how you want the normal day time call routing to occur.

Dial *212 - Night Destination - If you want to manually set the phone to night mode, 

Dial *213 - Lunch Destination - This tends to be used for ad hoc lunch times, or meetings. You could create a sound file for a mailbox which says “Apologies, we are closed for lunch between 1 & 2pm”.  Attach the sound file to a voice mailbox and set it to point there. Dial *214 - Holiday Destination (announces it as break) - You can either manually set the phone site into holiday mode and apply your own routing, like above, or you could automate it using the Holiday and Time and Date Condition articles found here Holidays - Agilico and here Time & Date Conditions - Agilico.

To remove your previous time of day choice, for instance, to move it back into day mode, simply dial the option you wish. For day mode, this would be to dial *211 and your phone system would return to normal day mode functionality.
